  • 1.  Allocating External Funds

    Posted 13 days ago
Hi everyone! I won’t be able to attend the call today. I did have a question though. How does everyone handle the money that comes in from commercial customers? By that, I mean, we have to add on to our normal fees that commercial surcharge (for lack of a better word). And that money just goes into our service center account, especially when using iLab. Do your institutions take that money and put it into an institutional account? Can the core put that into a discretionary account? Or does it just stay in the core account? What is best practice here? I’m asking because (at least in my mind), it seems like those “extra” dollars shouldn’t have the same restrictions on them that grant dollars would have, but if the money is in our core account, then our institution puts the restrictions on it anyway.

Thanks for any insights you can provide!

Hi Roxann! At Montana State University we do treat those external dollars separate from the internal recharge. We call this money "fees in excess of the base rate" or FIEBR, and they are added to a separate external business account and can be used for things such as replacing capital equipment, staff professional development, marketing, or subsidizing the internal rates. This has been extremely helpful for our cores!

So do you collect them in the core account and transfer them out or do they get added to the invoice as a separate line item and go directly to that separate account?
