As the Core Community continue to grow, we wanted to share information on how to work together on shared documents within a Community:
- Members can upload the same file without creating individual files with a "1" or "2" appended at the end. Instead there are "versions". To upload another version, the user must edit the library entry and then upload the file with the same name.
Here's an example:
The Education Committee is working on a new Workshop Guidelines document. Emily uploads an initial version ABRFguidelines.doc to the Education Committee Resource Library. Bill has some changes he wants to make, so he downloads the document, edits it in Word (with Track changes), and then goes in to edit the library entry. During this edit, he uploads the new version of the document he has created. The rest of the Committee can then review his changes to ABRFguidelines.doc and decide what else needs to be added.
The different versions are listed separately in the Library with the most recent at the top.
While it's not the same as Google Docs, with real time editing on the same screen, it helps to keep library entries more organized instead of having multiple entries for the same document.
